Contribute to the Directory

Organisations are invited to submit an entry for their organisation and also entries for each of their general and special collections or resources. Entries can also be submitted by organisations who provide an enquiry service but do not have a collection or resource and by organisations based outside Scotland but with resources relating to Scotland.

There is a simple, two-step process, to create entries in the Directory.

Step 1 – Submit Entry for Organisation

Organisations must first create an entry for their Organisation and wait to have it approved before submitting entries for each of their ‘Resources’.

For your Organisation entry, we suggest you input details of the headquarters of your organisation – locations of other premises containing resources available to the public are included within the Resources entry.

In the description we suggest you put the aims, history and nature of the organisation, leaving details of the resources you hold to the individual Resource entries.

Once you have created an entry for your Organisation, it will be reviewed and authorised by the Website Administrator. You will then receive an automatically generated email confirming that your organisation’s entry is ‘live’. It will also invite you to create entries for each of your resources.

Step 2 – Submit Entry for Resources

Follow the link in the automatically generated email confirming that your organisation’s entry is authorised in order to create one or more resource entries.
We suggest you create a separate Resource entry for each discrete collection or archive - there is no limit on the number of Resource entries you can create.

From the ‘Organisation’ drop-down menu, select your Organisation name so that your Resource entry is linked to your Organisation entry.

In the ‘Description’ box, highlight the significance of the resource and include all key words (places, people, topics). Please also be as specific as possible when selecting criteria in the drop down menus.

For the ‘Geographical Coverage’ of the subject matter of your Resource, we are using the pre-1974 county/parish definitions. If you are not sure which county/parish is relevant for your Resource, you can use the NLS county/parish finder tool - County and Parish map finder (opens in a new tab).

Once the Resource record is submitted, it will be reviewed and authorised by the Website Administrator. You will receive an automatically generated email to confirm when your entry is ‘live’.

Updates

If you subsequently require changes to your entries or you have any difficulties creating your entries, please contact the Website Administrator via the Contact Form, selecting 'SLH Directory' as category of enquiry.

The Website Administrator will contact you annually to review your entry.
